Friends of the Library Meeting Minutes for May 17, 2012

Present: Carol Oldenburg, President, Anne Mannisto Erin McDermott, Martha Nork, Claire Kreher, Joe Thomas, Denise Stacer, Ellison Franklin, Judy DeFrancesco, Roz Fink, Linda Schwelnus, Jim Morche, Paul Snyder, Regina Mingela, Laura Lockhart

Absent: Sandy Walts, Alex Sheremeta

1) Call to Order - Meeting was called to order at 7:35 p.m. by C. Oldenburg, President/Chair.

2) Approval of Agenda - Agenda was APPROVED as submitted after including Programs and Used Book Sale.

3) Approval of Meeting Minutes (April 19, 2012) - Corrections were made to previous meeting minutes. With the corrections, the minutes were APPROVED as submitted through email.

4) President's Report - Carol Oldenburg, President

a. Email was received from Cheryl Greig owner of Nest to Nest. Ms. Greig would like hold a sale at Nest to Nest and donate a percentage of the sale to the Friends. Advertising for the sale would be the Friends responsibility. Discussion was held on advertising options. Advertising in bookstore, blast email, Northville Record were all possible options for advertising. A date is needed for the sale before anything further can be decided.
b. The president wishes to develop a resource guide to facilitate greater continuity on the Board when members/officers leave. She requested that all Board members define their duties and responsibilities and include a timeline for these tasks (i.e. job description). Also provide names of members that assist or provide backup, if any. This information will be compiled to serve as a Board resource guide.
c. Erin has asked to be relieved from the email blast mailings. The decision was made to ask Sandy if she would be available to assist Erin. Erin will create a job description to assist whomever fills the role.

5) Library Director's Report - Anne Mannisto provided the following updates:

a. Anne commented on the display case.
b. Circulation is up 9% from April 2011. Downloadable books are where the in circulation increases are being seen
c. Programs:

Antarctica- Friends sponsored: 75 people attended
Detroitland
1940 Census program-45 people attended
Upcoming June events: Novelist on June 7, Once upon a Car on June 13

d. Youth, Teen, and Adult Summer Reading Programs will be beginning in June. These are programs supported by the Friends. The theme is Dream Big.

e. The Library took a distribution from the Endowment fund of $1,000 to benefit the Library's materials budget.

f. Funding climate - Personal Property tax repeal - The library is looking at losing between $70,000-$80,000 if it passes.
g. Geek the Library - The committee met recently to talk about ways to play up the national awareness campaign. The colors are black, red, and white. This will also be played out during the Summer Reading Program. It will be a year-long campaign.

• Plans for kick off during Youth and Teen Summer Reading start up
• Marching in the Fourth of July Parade-wearing T-shirts, carrying banner
• Teens will have it as the theme for their Summer Reading Program: What do you geek?

h. Development of Alternative Funding - Planned fundraiser at Genitti's on October 13. Looking to find sponsors for the event.

• Need help from Friends on getting sponsors.
• Subcommittee meeting on Wed. May 23 at 6 p.m.

6) Treasurer's Report -Denise Stacer

a. Balances as of April 30, 2012: Total Income: $10,062.08 Total Expenditures: $2,633.48 CFCU balance $60,864.89
b. Nothing new to report.
c. Hiller's has cut the percent of money from 5% given to Friends from the Hiller's card to 2%.
d. No finance meeting was held in May.

7) Corresponding Secretary's Report - Regina Mingela

a. Regina sent Michael McEvoy, Library Technology Coordinator a Get Well Card
b. Regina contacted the Chamber of Commerce.

8) Committee Reports:

a. Membership Committee Report - Ellison Franklin
141 new members or renewals
Ellison will be doing a third mailing in June.
b. Gift Store - Martha Nork
Member shopping days went well. $300 profit was made.
The Store now has a Facebook page. You can "Friend" the Friends of the Northville District Library Gift Store
c. Gift Books - Claire Kreher
5 gifts were given during the previous month. The total of the gifts was $360.
d. Used Books -Joe Thomas
MBB will be donating used children's books for the book sale.
The book cellar will be closed the Saturday before Memorial Day.
Joe thanked Jim Morche for arranging volunteers and for arranging pickup of books after the book sale.
The decision was made children's books would be sold for at least a minimum price of $0.25.
The bag sale is extended to the preview night for the Friends
Northville Civic Concern will pick up all unsold books for distribution to area charities.
e. Summer Reading Program - Roz Fink
Bags are being done this year instead of T-shirts. May 25 is the day they would like the bags to go to the printer. The color will be royal blue. Distribution will be discussed later. Businesses/People have been contacted who donated $100 or more in previous years and who had not yet donated in 2012.
f. Read to Me - Judy DeFrancesco
This is the last month the program will happen until September.
g. Carol thanked everyone who participated in the showcase.
h. Programs - Jim Morche
Antarctica Program
Jazz Program in October
Picks N Sticks - November 8
12th Night Singers - December 4
November 2013 - Veteran's Day Recognition Program
i. Development Committee - Erin McDermott
Bob Posch will be the entertainment. It will be $75 per person. The ticket sale is still to be determined. Wednesday the 23rd will be the next development committee meeting.
j. Book and Author Committee - Linda Schwelnus.
224 people will be attending. The program is sold out. The extra ticket bought for the technical person from the library was no longer needed since a Powerpoint would not be included in the presentation. Roz Fink bought the extra ticket.
k. Friends Of Michigan Libraries - Paul Snyder
Fall workshop will be held in Dexter. If we have anything to present on we should contact Paul.

9) Old Business/New Business -

a. Erin asked if there were any other volunteers for learning email blasts. Martha volunteered.

10) Next Meetings: Thursday June 21, 2012

2012 meetings are scheduled for the third Thursday of each month through October.
