Friends of the Library Meeting Minutes for January 17, 2013

Present: Julie Herrin, Erin McDermott, Claire Kreher, Sandy Walts, Ellison Franklin, Judy DeFrancesco, Linda Bolam, Joe Thomas, Joe Oldenburg, Linda Schwelnus, Laura Lockhart

Absent: Carol Oldenburg, Regina Mingela, Denise Stacer, Jim Morche, Martha Nork, Alex Sheremeta

1) Call to Order - Meeting was called to order at 7:00 p.m. by Erin McDermott, Vice-President/Chair.

2) Approval of Agenda - Agenda was APPROVED as submitted.

3) Approval of Meeting Minutes (December 6, 2012) -

a. The approval of the meeting minutes was tabled until the February meeting due to receiving the library report late.
b. It was requested that the corrected meeting minutes for December be sent to the group.

4) Old Business -

a. Staff Appreciation to be held on February 14, 2013. Judy provided a report on a luncheon that will be provided to the library staff.
b. Annual Meeting - Thursday, March 21 - The nominating committee has not met yet. They are planning on meeting later this month. An email blast will be sent two weeks prior to the event.

5) President's Report - Erin McDermott for Carol Oldenburg, President

a. There was no report.
b. Erin noted that Julie would be distributing the Library's 2013 wish list.

6) Library Director's Report - Julie Herrin provided the following updates:

a. Regular circulation is up 1% from December. The door count is up 1.5% from December. The downloads are up 115%.
b. There is a part time Librarian position open.
c. Julie distributed the 2013 Wish List. Each item on the list was discussed. The Wish List from March 2013 through February 2014 is as follows:

1. $6,000 Youth Summer Reading for 2014
2. $2,000 Teen Summer Reading for 2013
3. $1,000 Adult Summer Reading for 2013
4. $2,500 Battle of the Books 2014
5. $1,000 Donor Support: Mailing and Activities
6. $600 Staff Luncheon
7. $1,000 Community Reads
8. $450 Book Page subscription
9. $15,750 5 AWE Children's Workstations

d. Taste of Northville. The event will be held on March 9. There will be two tables. Denise has reserved the tables for both the Friends and the Library.

7) Treasurer's Report - Erin McDermott for Denise Stacer

a. The Treasurer was not available to report.
b. The report was disbursed to the group.
c. The income for December was $6,300.41. The expenses for December was $1,390.00 with a net income for the month of $4,910.41
d. The year to date was a net loss of $4,601.02 which is what is expected.
e. February will include the final expense of $9,500.00 to the library for their wish list for 2012-2013. The Friends expects to be at a net loss for the year of $10,500.00 due to the large gift of digitization.
f. Denise is asking if anyone has an outstanding expenses, to get them to her Denise by February 15, 2013 so she can disburse checks. Additionally she is asking that all checks be cashed by February 20th due to the year end on February 28th. The next finance committee meeting will be on Tuesday, January 22 at 3:00 pm.

8) Corresponding Secretary's Report - Erin McDermott for Regina Mingela

a. Regina sent a get well card to Carol Oldenburg.
b. Martha sent a thank you to the Friends for the gift book in memory of her mother.

9) Committee Reports:

a. Membership Committee Report - Ellison Franklin
The current membership is at 240.
There were 26 new or renewed members in December.

The following items were proposed as membership fees:

Student: $10
Individual Friend: $20
Family Friend: $30
Contributing Friend: $40
Sustaining Friend: $50
Patron Friend: $100
Best Friend: + $100

Should we have a "Lifetime Friend" category?

The committee approved the following would be the Membership Fees for 2013:
Student: $10
Individual Friend: $20
Family Friend: $50
Patron Friend: $100 or more
Lifetime Friend $1000 or more

Information for Board:

2. Incentive for submitting dues in March - drawing for a $25 gift certificate
from Next Chapter; give two certificates - The committee will ask if these will be donated.

3. Add to Membership card: Expires March 2014.

4. What committees need volunteers?

5. What could we do to provide a designation for business members?
Certificate for display in business? It was decided that certificates would be given to business owners.
Sticker for window of business?
Magnet for computer?

6. Have we put something in Northville Record about membership? Does anyone have a contact?

b. Gift Store - Martha Nork & Linda Schwelnus
A winter clearance is going on in the store until the end of January.
Income for the month of December was down from December 2011 by $468.00. It is not known why income was down.
The Facebook page for the store is called Friends of The Northville District Library Gift Store. Please "Like" our page. Also, please ask the administrator of the library's Facebook page to "like" us so that we can share news items.

c. Gift Books - Claire Kreher
17 gifts were given since the previous meeting. There were 13 given in memory. This includes six gifts which were part of the McAskin memory for the Genealogical room. The total of the 17 gifts was $1110. The total of the funds for the Genealogical Room for the McAskin Memorial is $815.

d. Newsletter - Sandy Walts
The newsletter will be coming out in March. Sandy is looking to find a volunteer so she can write a volunteer spotlight. If anyone knows of someone who deserves to be in the spotlight, please advise Sandy.

e. Used Books - Joe Thomas
MBB has asked to have a representative from the Friends attend a meeting January 26. Joe Oldenberg and Joe Thomas will be attending the meeting. It is believed that MBB will be asking to renegotiate the contract and the amount the Friends receive from MBB will be decreased.

Joe Oldenburg will be taking over in the Book Cellar in February.

f. Read to Me - Judy DeFrancesco
At the end of December all of the books that were available were used. 125 gift bags were given to babies and young siblings for the year. The program was considered a success for the year. When the new book order has arrived, the program will continue. Judy thanked the Friends for their continued support.

g. Programs - Erin McDermott for Jim Morche
African Safari program June 18, 2013.
Guernsey Dairy will be coming in 2013

Jim has also negotiated for a presentation on Light Houses of the Great Lakes. No date has been set.

h. Book and Author Luncheon - Linda Schwelnus
The event will be held on May 9. D.E. Johnson will be the author speaking. There are three books which are historical fiction on the city of Detroit.

i. Questions from Previous Meetings - Joe Oldenburg
Joe Oldenburg reported on questions regarding the constitution and by-laws.

j. Development Committee - Erin McDermott
The committee met on Monday. The Development committee will be holding an event on Sunday, January, 27 at 6:30 pm.

The committee is looking for a videographer. Denise suggested contacting the high school.

10) New Business -

a. Discussion was held on the Summer Reading Program gift ideas.
b. Ellison has given all of the membership information to Regina.

11) Next Meetings: Thursday, February 21, 2012
2013 meetings are scheduled for the third Thursday of each month through October.
